Volunteer Shift Sign-Up: See Coverage for Every Slot at a Glance
Volunteer coordination is rarely about finding willing people. It's about knowing, for each specific shift, whether anyone is actually covering it - and spotting the empty Saturday morning while there's still time to do something about it.
A roster puts every shift in one place and shows coverage per slot at a glance.
How it works
- List every shift as its own date and time - Saturday morning, Saturday afternoon, Sunday morning, and so on.
- Share one link with your whole volunteer list. It stays valid for the entire period.
- Volunteers mark which shifts they can do, and update it when something changes.
- Look at the per-shift totals to find the gaps.
- Assign people to shifts once you can see who's available, and the volunteers you assign get emailed.
Good for
- Charity events and community days run by a handful of coordinators
- Recurring commitments like a food bank rota or a club bar
- Festivals and fundraisers with many short shifts
- Any rota currently living in a spreadsheet nobody else can edit
Finding the gaps early
The shift nobody signs up for is almost never the one you expect, and you want to know about it two weeks out, not two days. Look at coverage as soon as the first wave of answers is in, then ask specifically about the thin shifts rather than sending another general appeal - a targeted ask to five people works better than a broadcast to fifty.
Questions people ask
Can one volunteer sign up for several shifts?
Yes, as many as they're willing to take.
Can I see coverage for a single shift?
Yes. Each shift shows its own list of who said yes, maybe and no, so you can see immediately which ones are thin.
Can I assign specific people rather than letting them pick?
Yes, and both together is common: collect availability first, then assign against it so nobody is put on a shift they can't do. Assigned volunteers get an email.
Can volunteers change their availability later?
Yes, from their own link. Volunteer availability changes a lot, and a rota that can't be updated stops being true quickly.
Do volunteers need an account?
No. They answer from the link.
