Plan a Group Trip: Find Dates Everyone Can Actually Take Off

A group trip has a harder scheduling problem than a dinner: you're not looking for an evening everyone can spare, you're looking for several consecutive days everyone can take off work. That usually means one or two windows in a whole year actually work, and finding them by asking one person at a time takes weeks.

Put the candidate windows up front and let people answer against all of them at once.

How it works

  1. Block out the realistic windows - long weekends, school holidays, the weeks around public holidays.
  2. Add each window as its own option. If the trip is a set length, one option per possible start date keeps it simple.
  3. Share the link with everyone who might come, including the maybes.
  4. People mark which windows they can take off. Maybe is genuinely useful here: it means "I could probably get the time approved".
  5. Pick the window with the best turnout early enough that people can still book flights at a sane price.

Why doing this early matters

Trips fall apart on timing, not enthusiasm. The earlier you settle the dates, the cheaper the travel and the more likely people can actually get leave approved. A poll that goes out four months ahead gets a very different answer than the same poll three weeks before.

Good for

  • Friends spread across different cities or countries
  • Family trips where several households have to align
  • Any trip where flights or accommodation get more expensive the longer you wait
  • Groups where two or three people have genuinely inflexible schedules

Questions people ask

How far ahead should I start?

Three to six months for anything involving flights or a week off work. For a domestic long weekend, four to six weeks is usually enough.

What if nobody can do the same week?

You'll find out early, which is worth knowing. Often the answer is to split into two smaller trips, or to accept that one or two people join for part of it.

Should maybe count as a yes?

Treat it as "probably, pending approval". If a window wins on maybes alone, ask those people to confirm before anyone books anything.

Can I poll destinations too?

This handles dates. Destinations are usually better settled in conversation first, because the answer changes what dates are even possible.
