Sports Team Scheduling: See Who's Available for Every Practice and Game

A team's scheduling problem isn't finding one date, it's knowing, week after week, who is actually turning up. You need enough players for a fixture, and you need to know by a few days before, not on the morning of the game.

A roster handles the recurring version of that: put up all the fixtures and training sessions at once, and let players mark availability for each.

How it works

  1. Add every fixture and training session for the period ahead - a month, a season, or a block of weeks.
  2. Include the time and the pitch or venue for each, since those change week to week.
  3. Share one link with the whole squad. It stays valid all season; you don't send a new one each week.
  4. Players mark yes, maybe or no against each date, and update it when something changes.
  5. Check the per-date totals before each fixture and chase the gaps while there's still time to find a substitute.

Good for

  • Amateur and youth teams without a full-time coordinator
  • Squads bigger than the starting line-up, where selection depends on who's available
  • Sports needing a minimum number to play at all
  • Clubs where the same handful of people answer instantly and the rest need reminding

Making it work over a whole season

The habit matters more than the tool. Put the link somewhere permanent - pinned in the team chat - and ask people to update it whenever their availability changes rather than only when asked. A roster everyone updates as they go is worth far more than one you have to re-poll before every game.

Questions people ask

Can players update their answer later?

Yes, any time, from their own link. Availability changes constantly and an answer nobody can revise stops being accurate within days.

Can I see who's available for one specific fixture?

Yes. Each date shows its own list of who said yes, maybe and no, so selection for a single game doesn't mean reading the whole grid.

Can I assign players to specific fixtures?

Yes. Once you can see availability, you can assign people per date, and the players you assign get emailed.

What about players who never respond?

They show as pending against every date, which makes the pattern obvious. Most teams find one reminder to a named individual works better than another message to the whole squad.

Does everyone need an account?

No. Players answer from the link. An account is optional and only useful if someone wants all their teams in one place.
